Health and Safety policy

Man and Van Shoreditch Health and Safety Policy

Man and Van Shoreditch is committed to providing a safe and healthy working environment for our employees, contractors, customers, and members of the public who may be affected by our removal and delivery operations. We recognise that high standards of health and safety are essential to the efficient running of our services, including house moves, flat moves, office relocations and furniture transport.

This policy sets out our approach to managing health and safety risks and promoting safe working practices across all aspects of our man and van and removals activities.

Our Health and Safety Objectives

Our main objectives are to prevent injury and ill health, protect property, and ensure that health and safety considerations are integrated into all planning and delivery of our moving and transport services. We aim to:

Identify and control risks arising from our work activities.

Provide safe vehicles, equipment and tools that are suitable for removal tasks.

Ensure employees and contractors are competent and appropriately trained.

Maintain clear communication with customers about safety requirements during moves.

Continuously improve our health and safety performance and culture.

Management Responsibilities

Management at Man and Van Shoreditch has overall responsibility for implementing this health and safety policy. This includes:

Ensuring that risk assessments are carried out and regularly reviewed for all typical moving activities, including loading, unloading, carrying items, driving and parking.

Providing and maintaining vehicles and handling equipment in a safe working condition.

Ensuring that adequate resources are made available for training, supervision and safety equipment.

Investigating accidents, incidents and near misses with the aim of preventing recurrence.

Reviewing the health and safety policy periodically and updating it when necessary.

Employee Responsibilities

Every employee and contractor working with Man and Van Shoreditch has a personal responsibility to take reasonable care of their own health and safety and that of others who may be affected by their actions. This includes:

Following all safety instructions, procedures and guidance issued by the company.

Using vehicles, trolleys, lifting straps and other equipment properly and only for their intended purpose.

Reporting defects in vehicles, equipment or the work environment without delay.

Wearing suitable clothing and footwear for manual handling and driving tasks.

Not undertaking work for which they have not been trained or feel unfit to perform safely.

Refraining from alcohol or drug use that could impair their ability to work safely.

Safe Driving and Vehicle Use

Driving is a core part of our service and presents significant risks if not managed correctly. To reduce these risks, we will:

Ensure that drivers hold the appropriate and valid driving licence for the vehicles they operate.

Keep vehicles maintained, serviced and inspected at appropriate intervals.

Plan routes so far as is reasonably practicable to minimise unnecessary risks and delays.

Require drivers to comply with road traffic laws, speed limits and parking regulations at all times.

Discourage the use of mobile phones or other distractions while driving, except with approved hands free systems where absolutely necessary.

Ensure drivers take appropriate breaks and do not drive while excessively tired.

Manual Handling and Lifting

Manual handling of furniture, boxes and other items is central to our removal operations and must be carried out safely to avoid injury. Man and Van Shoreditch will:

Provide guidance and, where appropriate, training in correct lifting and carrying techniques.

Encourage staff to assess each lift before starting and to refuse unsafe loads.

Use mechanical aids such as sack trucks, dollies and lifting straps wherever suitable.

Ensure that heavy or bulky items are moved by sufficient personnel to lift and manoeuvre them safely.

Avoid twisting, overreaching or carrying items over long distances without rest.

Assess access routes at collection and delivery points, including stairs, corridors and doorways, to plan safe movement of items.

Customer Premises and Public Safety

Our work often takes place at customer homes, offices and shared buildings where the public, neighbours and other workers may be present. To protect others, we will:

Take care when moving items through communal areas, corridors and entrances.

Keep access routes as clear as reasonably possible from trip hazards such as packing materials, straps and tools.

Use safe techniques when carrying items near glass, fixtures and fittings to prevent damage and injury.

Communicate clearly with customers about any safety concerns, including structural issues, limited access or unstable items.

Park vehicles responsibly to avoid blocking emergency exits, driveways or creating unnecessary risk to pedestrians or other road users.

Equipment and Maintenance

Safe and well maintained tools and equipment are essential to safe removals operations. Man and Van Shoreditch will:

Select vehicles and equipment that are appropriate for the loads, distances and environments in which we work.

Carry out regular checks on vehicles, ramps, trolleys, straps and protective equipment.

Remove from service any equipment found to be defective until it has been repaired or replaced.

Store equipment safely in vehicles or at base locations to prevent damage and accidents.

Training, Information and Supervision

We are committed to ensuring that everyone engaged in our removal services is competent to work safely. To support this, we will:

Provide new starters with an induction that covers key health and safety risks and procedures.

Offer ongoing training in manual handling, safe driving practice and use of equipment as appropriate to roles.

Ensure that team leaders and senior staff provide suitable supervision and guidance, especially on complex or higher risk moves.

Make this health and safety policy available to employees and, on request, to customers and other interested parties.

Accident Reporting and Policy Review

All accidents, near misses and dangerous occurrences during our moving and transport activities must be reported promptly to management. We will record, investigate and analyse these events to identify causes and implement corrective actions.

This health and safety policy will be reviewed regularly to ensure it remains suitable, effective and aligned with our operations and any changes in legislation or best practice in the removals sector.

By working together and following this policy, Man and Van Shoreditch aims to deliver reliable, efficient and safe man and van services for all customers and communities we serve.
